Thank You Notes

I continue to be surprised by the number of people seeking “thank you notes” when they should really be looking for stationery.  A typical conversation will go something like this:

Stationer:  “May I help you?”

Client:  “Yes, where are your thank you notes?”

Stationer:  “We have a nice selection of  ‘thank you notes’ on the spinner, but perhaps stationery might prove more useful.”

Client:  “Stationery?”

Stationer:  “Sure, stationery is generally far more practical than thank you notes.  For instance, personalized stationery works well for both business and social correspondence and can be used for birthdays, anniversaries, promotions and condolences as well as for saying ‘thank you.”

Client: “Oh, I hadn’t really considered it.  But I think I’ll just take the thank you notes now and come back later for stationery when I have more time.”

I suspect that this conversation is similar to that which occurs in many stationery stores across the United States.  Clearly, the client recognizes the importance of using written correspondence for this particular occasion but has somehow been led to believe that a “thank you note” is the appropriate form of correspondence.  I have no idea if this is attributable to “good” marketing or simply that personalized stationery is no longer deemed necessary by a generation that has become attached to digital communications.

At the Dallas Market, William Arthur showed us some of their new Thank You Notes and boxed foldover notes that can be personalized.  Both of these attractive cards are useful for simple “thank yous” and the personalized card from Vera Wang with Emily’s first name can easily be used for a thank you note or social correspondence.

While both forms of correspondence are perfectly acceptable, personalized stationery is far more versatile and, in my opinion, is preferable to the more commercial “Thank You” Note.

Stationery for students and graduates

As stationers, we are often asked what type of stationery is appropriate for college students and graduating seniors.  In an era of online applications, networked college communities and the largely “in-your-face” but impersonal world of social networks,  stationery may seem to be a relic of times past.  I am pleased to report that the handwritten note is back in fashion and, according to some college recruiters, often a deciding factor in selecting among college applicants.

The handwritten note is a sign of civility, good etiquette and maturity that often distinguishes one talented graduate from another.  In selecting one’s stationery, one must consider the type of stationery to be used in each situation.  For instance, the fold-over note or correspondence card are often used for less formal occasions.  Specifically, a fold-over note might be used say “thank you” to a fellow student, college counselor or the parents of friends who have bestowed a favor.   A half-sheet or monarch sheet might be used in more formal situations such as job interviews or a follow-up letter after meeting a college admissions counselor.  While these forms of correspondence are often  inter-changeable, I have always preferred using  correspondence sheets for more formal situations.  Nevertheless, any form of handwritten note is preferable to none or the insipid email.

When selecting your stationery, there are many cost-saving options available.  While engraved stationery or letterpress stationery is certainly beautiful, it is often beyond the budget of most students.  Guild stationery stores generally carry several lines of boxed stationery from Crane, William Arthur, Vera Wang and other fine paper companies.  Personalizing this boxed stationery with your name or monogram can generally be done within 48 hours.  Avoid pre-printed thank you notes, since they are so impersonal and appear to be ”last minute”  or commercial.   Personlalized stationery can be used in many situations and remains a relevant if not vital form of communication in today’s society.

Are Thank You notes necessary?

This may seem like a silly question, since sending a Thank You note is a gracious way to express your appreciation for an act of kindness or hospitality. Sheila May, owner of Therérè Saint Clair, a stationery store located in Greenwich, CT, goes further and says “it is not only the ‘gracious’ thing to do, but simply proper etiquette and common sense.”

While Thérèse Saint Clair carries several lines of engraved Thank You notes from many fine paper companies, Ms. May explains “that boxed Thank You notes are simply an inferior substitute for personalized stationery.” She goes on to explain that “a fold-over note with the words ‘Thank You’ engraved on the card strikes me as a bit impersonal and somewhat last-minute. Where possible, I try and steer our clients toward designing their own personalized stationery. Don’t you think it is more refined to say ‘thank you’ inside your card than have it as a bold pre-printed headline?”

“The hand-written note is one of the most intimate and personal forms of communication,” says Sheila. “Your selection of the paper, font style, monogram, motif, ink color and envelope lining all working in harmony is often as much an expression of your personality as the words you write.”

One of the great advantages of personalized stationery is its versatility. It works equally well for “Thank You” notes as it does for congratulatory messages or sympathy notes. While most boxed “Thank You” notes tend to be fold-over cards, other options are available if you design your own personal stationery. Ms. May notes that “bordered cards tend to be very popular for both men and women and, after somewhat of a lull, we have seen a resurgence of half-sheets, particularly among business executives.”

Ms. May suggests that you work with an experienced stationer, preferably a Guild member, to design your stationery. “Paper is tactile,” explains Ms. May, “and it is absolutely essential to sort through many paper samples to choose the paper that feels right to you. Once you have selected your paper, concentrate on a font style or monogram style. Monograms are great for social stationery, but your printed name or initials are best suited for business correspondence. The printing process is an important final step in crafting your stationery. Engraving and letterpress are the most traditional forms of printing. Nevertheless, they are more expensive than thermography or lithography. If you select colored paper stock, I strongly recommend that you consider engraving since the opaque nature of this printing process will not distort ink colors.

Personalized stationery need not be expensive. There are many design and printing options for you to consider. “The most important consideration is the paper stock,” notes Ms. May. “Crane, William Arthur and several other fine paper companies have beautifully-designed and affordable boxed correspondence that can be personalized by your local stationer. I strongly recommend that you base your selection on how the paper feels rather than any promotional hype.”
